How do I create a club?

Download the ClubFellow app, create an account, and tap "Create Club." Your club is live immediately on the Free plan. No payment required to get started.

How do members join?

Share your club's unique 6-character Join Code anywhere your members already are. Members paste it into the app and are added instantly. You can also send email invitations directly from the app, individually or in bulk.

What kind of clubs is ClubFellow built for?

Any organised community with a recurring membership. Sports and fitness clubs, automotive clubs, mind sports and hobbies, cultural and civic organisations, professional groups, arts communities. If you have members, dues, and events, ClubFellow is built for you.

What devices does it run on?

Members use ClubFellow on iOS and Android; the member experience is fully mobile. Club admins also get a web dashboard at app.clubfellow.app for billing, member payments and refunds, analytics, announcements, and club settings.

When does ClubFellow launch?

Soon: we're in the final stretch before release on iOS and Android. Join the waitlist and you'll get exactly one email the moment we're live, and nothing else.

Can I import my existing member list?

There's no CSV import yet. The fastest way to move a club over is to share your join code, or send bulk email invitations (up to 200 at a time) straight from the app. Your data is never locked in: Pro clubs can export the full member list as CSV at any time.

Can youth clubs and academies use ClubFellow?

Yes, with one rule: every account holder must be at least 16. For younger members, a parent or guardian holds the account, joins the club, and pays the membership on the child's behalf. Clubs that work with minors remain responsible for handling children's data lawfully, as with any tool they use.

Can I be in more than one club?

Yes. One account works across any number of clubs. Switch between them from the club switcher at the top of the app, and choose a default club to open on launch or keep the picker.

Features

Can members chat with each other in the club?

Yes. Every club has one chat where every member can talk together. It's just for your club, and nobody outside can see it.

Can I edit or delete a message I just sent?

Yes. You can edit or delete your own messages for up to 15 minutes after sending them. After that, an admin can still remove anything that needs to come down.

Can I turn off chat notifications for a club?

Yes. Open the chat and mute it. You'll still get announcements and event reminders; only the chat goes quiet.

How does the voting system work?

Admins create a poll with a question and any number of options. Each member gets exactly one vote, enforced by the system. You can control whether results are visible before voting, after voting, or only once the poll is closed.

Is there a limit on how many events I can create?

No. Events are unlimited on all plans. You can schedule as many meetups, trainings, workshops, or general assemblies as your club needs, and past events stay in the record so your history is never lost.

What are Membership Plans and Perks?

You can define multiple membership tiers: for example, a Standard and a Premium plan at different prices. Each plan can have its own set of Perks: benefits, discounts, or access rights visible only to members on that plan.

Who can see my club's member list?

Club admins see the full roster with membership status, because they need it to run the club. Regular members don't get a browsable member list: fellow members only see your name where you take part, such as chat, comments, and event attendee lists. Nothing is visible outside your club.

Can I have more than one admin?

Yes, on the Pro plan. Pro clubs can have multiple admins: promote any member to admin and demote them back at any time. The Free plan includes a single admin account. The only universal restriction is that you cannot remove the last remaining admin from a club.

What analytics does ClubFellow provide?

Pro clubs get a live dashboard with membership, revenue (including monthly recurring revenue and net-to-club after fees), attendance, and poll participation trends over 7, 30, or 90-day windows. Member records show last activity and expiry at a glance, so you can reach out before someone drifts away.

Payments & Pricing

What is the Free plan?

The Free plan gives you full access to all core features for clubs up to 100 members. No credit card required. You only upgrade to Pro when you need more than 100 members or Pro-only features like multiple admins, deep analytics, bulk notifications, or CSV export.

What does Pro cost?

Pro is €7/month or €65/year, where the annual plan saves you 22%. It renews automatically so your club never loses Pro by accident; cancel anytime and Pro stays active until the end of what you've paid for. We email you before every yearly renewal. Pro unlocks unlimited members, multiple admin accounts, deep analytics, bulk push notifications, CSV member export, white-label member cards, long-form announcements, and priority support. Admins manage Pro on the web dashboard at app.clubfellow.app.

Who pays the member subscription?

Each member pays their own dues directly through the app via Stripe Checkout. The admin sets the price and billing period (monthly or yearly); members pay independently. You never chase payments manually.

Do member dues auto-renew?

Monthly and yearly plans renew automatically through Stripe, so nobody has to remember. Members can switch auto-renew off at any time and keep access until the end of what they've paid for. One-off plans (custom lengths and season passes) don't renew: members get a reminder when they're about to expire.

How does my club receive the money?

Through your club's own Stripe account. You connect it once in a guided flow inside the app; member dues are then routed directly to that account and paid out to your club's bank on Stripe's standard payout schedule. ClubFellow never holds your club's money, and you can open your Stripe dashboard from club settings at any time to see balances and payouts.

What happens if a member doesn't renew?

The system notifies the member as their membership approaches expiry. After expiry there's a 7-day grace window where they can still read club content but can't vote in polls; past that, access is restricted automatically until they renew. Their record is kept in case they rejoin later: nothing is permanently deleted.

What are the transaction fees on member payments?

Member payments carry a 1.5% platform fee. One-off payments (custom or season plans) have a €0.80 minimum per transaction; recurring monthly or yearly dues are a flat 1.5% with no minimum. Stripe also takes a card processing fee (around 1.5% + €0.25 in the EEA) from your club's payouts.

Can I pass the platform fee on to members?

Your choice. Each club has a setting that either adds the 1.5% fee at the member's checkout as a separate line item, or absorbs it into the plan price so the club carries it. You can change it at any time in club settings.

Can I refund a member?

Yes. Admins can issue full or partial refunds from the app or the web dashboard; the money goes back to the member's card via Stripe, and you can optionally end their membership access at the same time. The platform commission on the original transaction isn't returned (see the Terms).

What happens when my club reaches 100 members on Free?

Nothing breaks. Existing members keep full access; the cap only pauses new joins until you upgrade to Pro or free up seats. Would-be joiners simply see that the club isn't accepting new members right now, never an upgrade pitch. Moving from Pro back to Free requires being at or under 100 active members.

Can members pay cash or by bank transfer?

Card payments through the app are the primary path. For members who already paid outside the platform, there's a claims flow during your club's first 60 days: the member submits an "I already paid" claim and you approve it. After that, admins can extend any member's expiry date directly to record offline arrangements.

Which countries and currencies does ClubFellow support?

Membership plans are priced in euros. To receive payouts your club connects a Stripe account, so the club needs to be based in a country supported by Stripe, which includes every EU/EEA country.

Are payments secure?

Yes. All payments are processed through Stripe, a PCI-DSS certified payment provider. ClubFellow never stores card details: members pay directly through Stripe's secure checkout flow.

Privacy & Data

Does ClubFellow show ads or sell data?

Never. ClubFellow is ad-free by design. We do not sell, profile, or share member data with any third party. The platform is funded by Pro subscriptions and a small fee on member payment transactions.

Who owns the club's data?

Your club does. We store data on your behalf to run the service, but we have no claim over it. You can export your member list from the app at any time.

Can a member delete their account?

Yes. Any member can permanently delete their account from within the app. This erases all personal information in compliance with GDPR. Payment records are retained for legal and accounting obligations, but all personal identifiers are removed.

Is ClubFellow GDPR-compliant?

Yes. ClubFellow is built for the European market and follows GDPR requirements, including the right to erasure, one-tap data export, privacy-by-default member visibility, and data minimisation principles.
